Virtual Assistant Onboarding Checklist

Onboarding is where most VA relationships succeed or fail. A new assistant with clear written instructions, safe access to the right tools and a first-week plan becomes productive quickly. One who is left to guess usually disappoints, and the owner blames the VA.
Use this checklist from the day you accept their offer. It follows on from how to hire a Filipino VA.
Before day one
- Signed agreement covering scope, hours, rate, confidentiality, ownership of work and notice period
- Payment method set up and a first pay date agreed. See how to pay a Filipino VA
- Holiday calendar shared both ways
- Time-zone schedule agreed, with an overlap or handover window. See time-zone tips
- Communication channels chosen: one for chat, one for tasks, one for urgent issues
- Welcome message with who to ask for what
Set up secure access
Treat account access like keys to your office. Give only what is needed.
- Use a password manager with shared vaults, and never share passwords in chat or email
- Turn on two-factor authentication on every important account
- Create separate logins for your VA wherever the tool allows, so you can remove them later without changing passwords
- Give least-privilege access: view-only first, edit only where needed
- Keep bank and payment accounts out of reach, or use approval-based roles
- Keep a list of every tool and account the VA can access, so offboarding is quick
- Ask the VA to use an updated device, antivirus and a secure network
Document how you work
Most delegation problems are missing instructions. For each recurring task, write or record:
- What the task is for and what “done” looks like
- Step-by-step instructions, ideally a short screen recording
- Examples of good output, such as sample emails in your tone
- Decision rules: what they can decide alone and when to ask
- Where files live and how to name them
Store these in a shared document, wiki or folder. This is also your insurance if the VA leaves.
Plan the first week
A gentle first week avoids overload and shows you how they work.
Day 1: introductions, tool tour, first small task Day 2–3: two or three small tasks, each reviewed the same day Day 4–5: a slightly larger task, with a short end-of-week review
Rules of thumb:
- A short daily check-in for the first two weeks
- Review every output in week one, then spot-check
- Give feedback quickly and specifically
- Ask what instructions were unclear and fix them
Weeks two to four
- Add one new task type at a time
- Switch from daily check-ins to two or three a week
- Ask your VA to improve a process doc and send it back
- Agree on how they report: daily summary, weekly report or both
- Hold a 30-day review: what is working, what is not, what to change, and whether to increase hours
Set expectations clearly
- Response times for chat and email
- How to flag a problem or delay early
- How to handle mistakes: report it and fix it, no blame
- What counts as urgent
- Working hours and what to do when offline
Offboarding checklist
Even good relationships end. Be ready.
- Remove access from every tool on your list
- Rotate any shared passwords
- Collect files, documents and process notes
- Confirm final payment and any notice-period terms
- Ask for feedback and a handover note
- Update your documentation so the next VA can start fast
Frequently asked questions
How long until a VA is fully productive?
Often two to four weeks for routine tasks, longer for specialist work. Clear documentation shortens it.
Should I give my VA access to my email?
Often yes for admin roles, but use delegated access where the tool supports it, and keep sensitive accounts separate.
What if they are not working out after a month?
Decide early. Review the instructions first, because the problem is often unclear processes. If the issue is reliability, end the arrangement under the notice terms and go back to your shortlist.
